HaulKeep helps trucking companies keep their DOT safety records organized. This policy explains what information Carretta Holdings LLC, doing business as HaulKeep ("HaulKeep", "we") collects, why, who it's shared with, and the choices you have. It covers the HaulKeep app at app.haulkeep.app and the emails and text messages it sends.
The short version: we collect what's needed to keep your compliance records, we don't sell or rent personal information, we don't use it for advertising, and documents you scan are read on your own device, not by an outside service.
1. Who is responsible for which information
A trucking company (our customer) creates a HaulKeep account and adds its drivers, vehicles and records. For the records about drivers and vehicles, the company decides what to keep and why, and HaulKeep stores and processes them for the company as its service provider. Drivers with questions about their records should contact the company they drive for; we'll help the company respond.
For account and billing information about the company and its owner, HaulKeep is responsible.
2. Information we collect
Account owners. Name, email address, password (stored only as a secure hash by our sign-in provider), two-step sign-in settings, and the date you accepted electronic records.
Company details. Legal name, USDOT and MC numbers, address, phone, the answers to the setup questions that build your checklist, and your drug and alcohol policy.
Driver records, entered by the company or by the driver through a task link:
- name, email, mobile phone, date of birth and hire date;
- driver's license number, state, class, restrictions, endorsements and expiration date;
- documents and photos the company or driver adds, such as the license, medical examiner's certificate, driving record (MVR), drug and alcohol test results and Clearinghouse query records;
- forms completed in the app (for example the employment application and road test certificate), with typed-name signatures;
- driver vehicle inspection reports (DVIRs), with defect descriptions and photos;
- task history: when a task was sent, opened and completed.
Vehicles. Unit numbers, VINs, weights, inspection and maintenance records.
Billing. Your plan and payment status. Card details go directly to Stripe and never reach HaulKeep's servers.
Usage and technical information. Page counts without cookies (see section 5), error reports with personal details removed, and standard server logs (time, page, browser type) kept for a short period to keep the service running and secure.
What we don't collect. We never ask for Social Security numbers. When a license is scanned, its address, physical description and the raw barcode contents are not stored. Photos are saved again without their location and camera details.
3. How we use information
- to provide HaulKeep: build your checklist, store records, track due dates, make the audit binder and run driver tasks;
- to send the emails you'd expect: sign-in links and codes, reminders before records expire, task links to drivers, and billing notices;
- to bill your subscription through Stripe;
- to keep the service secure: detect misuse, investigate errors and keep a security log of important account actions;
- to improve HaulKeep using page counts and error reports that don't identify you;
- to meet legal obligations.
4. Document scanning stays on your device
When you scan a driver's license or insurance card, the barcode and text are read by software running in your own browser. The image isn't sent to any outside reading service, and no artificial-intelligence service processes your documents. You check every value before anything is saved.
6. Text messages
When texting is available, a company can send its drivers task links and reminders by text message. Texts are sent only to drivers who have agreed to receive them, about their own compliance tasks. Message frequency varies with the tasks a company sends. Message and data rates may apply. Reply STOP to stop texts, or HELP for help.
Mobile numbers and texting consent are never shared with or sold to third parties or affiliates for marketing or promotional purposes. They're used only to deliver the messages described here.
8. Security
- data is encrypted in transit (HTTPS) and at rest;
- each company's records are separated by access rules enforced in the database itself;
- files are private and opened only through links that expire after 10 minutes;
- two-step sign-in is available for every account and required for HaulKeep administrators;
- driver task links are random, expire, and need a one-time code sent to the driver;
- daily backups are kept by our database provider.
9. How long we keep information
We keep a company's records while its account is open, so they're there when an auditor asks. Federal rules require carriers to keep many records for set periods (for example, inspection reports for 3 months and many driver records for 3 years); keeping the right records for the right time is the company's responsibility, and HaulKeep helps by never deleting a record on its own.
When an owner deletes the account, everything is held for 30 days in case they change their mind, then permanently deleted, including files. Backups roll off on our provider's schedule. Billing records are kept as tax law requires.
10. Your choices and rights
- See and download your data: owners can download a complete export of their company's records and files at any time from the Account page.
- Correct it: most information can be edited in the app.
- Delete it: owners can delete their account from the Account page.
- Emails: reminder emails can be turned off on the Reminders page or with the link in each email. Account and security emails can't be turned off while the account is open.
- Texts: reply STOP at any time.
Depending on where you live, you may have other rights over your personal information, such as asking what we hold about you. Write to support@haulkeep.app and we'll respond within the time the law allows. Drivers: please contact the company you drive for first; it controls your records.
11. Children
HaulKeep is for businesses and isn't meant for anyone under 18. We don't knowingly collect information from children.
12. Changes to this policy
If we make a material change, we'll tell account owners by email or in the app before it takes effect. The date at the top shows the latest version.
